Director of Administration

I've noticed on a few chapter websites that this is an executive board position, but our exec only consists of:
President
VP Chapter Operations
VP Programming and Development
VP Marketing
VP Recruitment
Panhellenic Delegate
Director of Finance

What are the duties of the director of administration? Just wondering because it's not a very descriptive title.

It's in the CCOM (which you can download from the Alpha Phi Eyes only section of the website), but basically this person makes sure that reports and records are submitted on time and that they're accurately filled in, keeps the chapter calendar current, and can serve as the chapter Parliamentarian.

See page 24 of the CCOM (Volume 7).

The director of administration, pretty much does just that. She is to direct all of the administration that goes on within the chapter. I was told that basically she is the right hand to the president, and just makes sure that things are organized well in the chapter the adimn side of it. Some or maybe most chapters do not have it because they either do not have the need for it or they do not have the numbers to have that other position. That's what I think, anyone pls correct me if I am wrong.

You're right on the money APhiAngel! Back when I was a collegiate, this was one of the positions I held. Everyone's titles were a little different back then (there were fewer VP's for one) and this position was actually called the "Administrative Assistant". She's also responsible for taking charge of the chapter's bylaws.

Geesh, maybe I should suggest that to the girls. A lot of the VPs (like oceanphi01!) seem to have so much to do, and I feel bad because they get stressed.

Either that or we need to teach them to delegate.

And by the way, thank you ladies. I would have never found that without you Sistermadly!

Oh yes, we need to delegate. When I was VP of Student Ambassadors I delegated a lot or made my committee help me. Otherwise, the way that organization works, the VP will go nuts (like the last one did).

Very few girls seem to utilize their committees. With Chaplain I definitely have the girls help because otherwise inventory would take all day!

our director of admin also takes care of everything when we have a visit from an elc. and the position is also listed as an exec position.

delegation is definitely key to being successful. i had such a hard time delegating until i got panhellenic president and i had so much to do that i started delegating. i hated it at first but it has definitely made my job a LOT easier.

i held dir of admin for three years. it was new when i got it, so it took a while for us to develop the position.
duties included:
serving as a voting member on exec
president's righ-hand person
reports to internationals
bylaws
exec meeting minutes (secretary took chapter minutes)
being in charge of election packets
helping the president with chapter forum
keeping the calendar up to date
making the contact sheet and phone tree
(i was also supossed to help when the elc was with us, but since i was panhellenic president, i wasn't allowed to be around recruitment workshops)
because i was on panhell, i also kept everyone in line with phc policies
plus, i helped out on exec whenever anyone started to get overwhelmed

Sigh, I brought it up to an older sister and she just said, "Well our President wouldn't be so stressed if everyone would just do their jobs."

Isn't that the point of adding a position? I think there's just too much for all the VPs and President to do. However, I mentioned it to the President and she seemed excited about talking about it more.

Thanks stagebear. That helped give me a little more ammo.

dir of admin.

i am finishing up my term as dir. of admin. and this is what i did:

-served on exec.
-counted votes at elections
-took minutes for exec.
-worked with the conferences and institutes office to get rooms for our chapter meetings
-headed the bylaw committee
-rewrote the bylaws
-got the bylaws approved
