How is your Organization/Chapter Utilizing Remote Meeting Technology?
 

As a lot of our schools are on lockdown, many of our groups are having to switch to remote meeting platforms like Zoom and MS Teams. I know that my chapter's alumni chapter has been meeting via Zoom and we're having greater attendance than ever and things are probably running as smoothly as ever.

MS Teams is making a solid push by adding new functions such as breakout session rooms which would add some possibilities for running effective meetings.

What is your organization doing? What are your best practices? (if this goes anywhere, this might be the October Zoom meeting topic)

From my observation, going virtual has improved attendance for meetings and programs for every BGLO I am familiar with. Most are using Zoom.

My national board meetings for Gamma Xi Phi are conducted using Google Meet. I like it because I like Google products. However, for more "program" things, I will have to use Zoom because it has more features, and can be recorded at a lower price point than Google Meet.

I have not used MS Teams.

Best practices: Sticking to time limits with a tight agenda--always ending 5-10 minutes early if possible. Yet also making the meetings time to check-in and be social in the proper doses. One brother we hadn't seen in a REALLY long time popped in to listen and say hi. That made me feel really good.

We have used Zoom and there were a few webinar systems that we have used for larger events (our regional conference was virtual as well as the hosted events throughout our regional week).

My chapter has used Zoom and we just had a successful chapter retreat. It went pretty smoothly! We will have our first Zoom meeting in a couple of weeks and that will be interesting, but if it goes like our retreat, we should be fine. We also use Google Drives for all chapter materials, like committee reports and meeting minutes.

2020 82nd Virtual Grand Conclave of Omega Psi Phi
 

Due to the COVID-19 Pandemic, Omega Psi Phi cancelled its Grand Conclave, which was to be held in Tampa, FL. A decision was made to hold the first ever Virtual Grand Conclave, from July 17-19, which was staged in the James A. Elam Auditorium at the Omega World Center, where the IHQ is housed. The full agenda of the conclave was carried out, including plenary sessions with committee reports, voting, and awards ceremonies and a virtual Founders' Banquet. Kudos to the Technology Committee who organized and executed this event.
